Data and security
Is our institution's data safe? Where is it kept?
Each institution's data is held separately — one institution can never see another's records. The database is encrypted, the site runs on SSL, and a cloud backup is taken automatically every day. Where the servers sit and how long backups are retained are both stated in writing in your service agreement.
Who can see what?
It's set by role. An admin sees everything, a teacher sees their own classes and subjects, a guardian sees only their own child. Your institution decides who gets access to what, and it can be changed at any time.
Who owns the data? What happens if we stop the service?
The data belongs entirely to your institution — we only hold it. If you decide to stop, you can ask for a copy of your records before the service ends. How that copy is provided, and in what format, is set out in the service agreement.
Getting started
Can we move our old register data across?
Yes. Bringing old records over is done with our team during setup — whether they're in registers, in Excel or in another piece of software, show us during the demo and we'll tell you exactly what can be moved, how, and how long it will take.
How long does it take to go live?
It depends on the size of the institution and how much historical data has to come across. At a small institution the accounts and modules stand up the same day; pulling in student and teacher lists and past results takes longer. We'll give you a specific schedule for your institution right after the demo.
Is training provided? Will our teachers manage?
Admins and teachers are trained before you go live, and 24/7 technical support continues after that. The whole interface is in Bangla — taking attendance, entering marks or sending a notice needs no English and no computer background. If someone can use WhatsApp on a phone, they can use this.
Using it
What happens when there's no internet?
MedhaKit is cloud-based, so the office side needs a connection. The guardian side is different: attendance, results and notices can go out by SMS, so a guardian with no smartphone and no internet still gets the message. At most institutions in Bangladesh that turns out to be the part that matters most.
How many teacher and staff accounts can we create?
As many as you like. Teacher and staff accounts are unlimited on every plan — the price moves with student numbers, not with the number of accounts.
Is there an app for guardians and students?
There is, and it's inside every plan. The guardian app shows their child's attendance, results, fees and notices — there's nothing extra to buy.
Is the cost of sending SMS included in the plan?
No — SMS is billed separately and stays in your hands. You put your own BulkSMSBD API key and Sender ID into settings, and SMS charges then go straight to that account. That means you set your own rate and pay us no markup on it.
Is a website included?
The website is a separate service — a complete thirteen-page site on your institution's own domain, which you can edit yourself. If you also have the management software, notices, the teacher list and results carry across to the website on their own, and hosting is covered by your subscription.
Price and contract
How is the price worked out?
There are six bands by student count, and every band gets the whole software — the features don't change, only the price does. Put your student number into the calculator on the plans page and you'll see both the monthly and the yearly figure.
How long is the contract? Can we stop partway?
Monthly or yearly, whichever you prefer, with 20% off for yearly. There's a 7-day money-back guarantee once you start, so if it isn't right for you, you get your money back within that window. There's no long-term lock-in.
How do we pay?
bKash, Nagad or bank transfer — whichever suits your institution. Every payment gets an invoice, and the full history sits in the billing section of the dashboard.
Are there any hidden costs?
Only two things sit outside the plan price, and both are optional — the website service and SMS. SMS is billed to your own gateway account, not to us. Beyond that there's no setup fee, no per-user charge and nothing to pay to unlock a module.
